Minutes Meeting 2 March 31st 2010 6pm Meeting called by Dale Kalina and Vasco Neves Attendees: Dale Kalina, Vasco Neves, Stuart Hopkinson, Jon Phillips, Shan Keshri, Roshan Photay, Luis Cyrillo, Roye Mauthner Additions: General Helena will mail all of the MIMSA members to let them know of the new board and of up and coming events. New vice dean to contact for MIMSA related events is Prof. Taborska. We might have the opportunity to move next year to the new campus in Bohunice. We the board take on the opinion that we should be placed somewhere close to the other student organisations but, would prefer to be located in the Centre if it is possible. Helena asked us what we would like/need we responded that new IT equipment would be nice. It will be new MIMSA policy to not "beg" for things from the University going along with our new image as an organisation that can stand on our own feet. Dates Vasco and Dale to Deans colloquium to be introduced. Vasco and Dale to meet President of ISC, IFSMA and SPOLEK ISC meet the board session at 9pm on April the 6th Cardholders The MIMSA members will henceforth be known as MIMSA cardholders. MIMSA is representative of all the students hence, we cannot require students to pay us in order to vote for our President and Vice President. Hence, in the future people will be allowed to vote but, entrance to clubs and events will be charged. We will be aiming at having 95% of the international students as Cardholders so we need to figure out why people would not want to be members. MIMSA Image At the moment people are excited by MIMSA and the future, we as the board have to be seen to be upstanding people. There is a no tolerance policy to things that may be unbecoming to the MIMSA board. A disciplinary panel in that situation will comprise of the President and Vice President as well as another from the board and a member from the student body. In the past there has been an incident involving a current student rep. Joana Duarte whereby she was accused of "fraud", being involved in faking a SPOLEK ball ticket and being caught. The board feels that though if we had been in power at the time we would have expelled her and removed her from her position as student rep, unfortunately the matter was closed by the previous board. No action will therefore be taken against her. Feedback from students More education events Communication between MIMSA and the students needs to be better, so that they can inform us what they want. The board needs to be more approachable. Subsidized meals cannot be given out due to the fact that the meals are organised by the ministry of education, we are not included currently. 2nd years had a problem relating to there not being enough equipment available for them in Biochemistry practical's- Helena will be sorting it. Students of MIMSA are allowed to apply for summer exchange programs. Orientation week Going to be re-organized in co-ordination with ISC, IFMSA and SPOLEK The idea will be for Czech and international students to be together for some things and separate for others. Helena is involved in this process and there will be a meeting with the Presidents and Vice Presidents of the organisations to decide what to do. A leaflet will be going out with the packet of info. that goes to new students. It needs to be done by the end of April to go to the first students, the Portuguese. When possible the leaflets will be specific to the country it is going to and in the language. We will ask Helena if we may communicate directly with "The Abbey College" directly in reference to the English students. For the orientation week the idea of having a MIMSA kiosk was put forward. To see T-Shirts and generally to appeal to the new students and parents with post cards and tourist gifts. It will be primarily for information and will require the board and committee members to run it during those first few days. We need to talk to the other organisations about this and gather their opinions on the matter. Mommy and Daddy "buddy" system for new students to be paired with upper years as guides and confidents for the first few weeks. Location: barracuda Entry ? Teams of 4 Committee Will consist of educational tutors and for the time being none will be needed as Shan and Bhav will organise it. Clinical Sessions We would like to extend the clinical sessions for a week so that there is no clash between that and the pub quiz on the 13th . Also we propose to have a motivational speech by Nikos for students who may be disheartened by failing a certain exam. Treasurer Each department to try and find an appropriate sponsor. Speaking to iraklis concerning the 10000 Kc from the flight school that doesn't appear to ever have come into MIMSA even though we advertised on our website. Pub quiz and MIMSA cup budget need to be ok with Jon before booking is done. Printing and copying will also be budgeted. IT New "tech-guy" is in place his name is Břetislav Regner (regner@med.muni.cz) He is in the process of setting up a new email account for MIMSA (MIMSA@med.muni.cz) We can already upload documents onto the IS for the purpose of backup and for the access to students. If in doubt of how to do this please contact Dale. The current website and domain for hosting the website costs $70 dollars per year but, we are unsure when that contract runs out. Roye will be contacting George in the coming week. The IS is able to host our website, there will be a cost involved however, there might be a problem with capacity due to us wanting to run a forum. Roye has prepared and proposed a design for the MIMSA business card which will again be presented to the board in completed form next week. PR To start publicity for the coming events; MIMSA cup and Pub Quiz. To write letters to the relevant companies regarding sponsorship. Posters for the clothing competition Black box Discussed at length and not entirely agreed. Proposed materials for helping students mainly for examination purposes. Completed syllabi and help questions. We disagree about whether this would be to the benefit of said students or rather a hindrance.
