Come to this warm atmosphere like a good Spring should be! Date of event (day, month, year): 02. 04. 2011 Venue: 7. nebe Number of participants: apprx. 300 Reason for event: To host a party in the spring semester for MIMSA members Important contacts: Contact for 7.nebe: Ivo Hilser 602 518 386 DJ: Bruno Financial budget: -500 kc for decorations -125 kc for posters + 6762 kc from entrance Evaluation of events: It was a successful event, which many students attended, but in the future we need to focus more on getting MIMSA students to attend the event then students from other organization. Pros: The manager of 7.nebe is very easy to work with. Since we have worked with him in the past, we were not asked for any deposit or payment for security. The house DJ also played so we only needed to find one DJ for the event. The place was easy to decorate and MIMSA board and several social committee members helped out with the decorations and being at the door to collect money for entry. Cons: The social department had some conflicting opinions on the party and that really hurt the event. After the board decided to go through with the party, the other social chair wanted no part in it, therefore creating a negative feel towards the party. It was also very short notice and therefore there was not enough time to properly advertise. The party was on Saturday after April Fool’s and this was not an ideal day for people to go out and that hurt the appeal and attendance of the party. Also during the party, a separate private group of IFMSA supposedly rented out the second room of 7.nebe. This was the impression they had but it was bad communication from their side with the manager because MIMSA had the entire club. Also they tried to get MIMSA to help pay for the DJ they brought, which is not something we agreed to do. We also didn’t have enough change in the money box, which became an issue during the night. What to do differently in the future: Make sure all conflicts are settled before planning an event. This will help organization and make the event more attractive for MIMSA members. Also advertise earlier before an event, really get the word out there, especially by word-of-mouth. Conclusion: It was a good event, well organized, but needed more MIMSA attendance. Please have the report handed to the Secretary a maximum of 7 days after the event occurred- Signed Date:
