The parent of a potential new scout fills out a registration form on the scouts group webpage. The system then adds the new applicant's data as well as their parent's contact data into the database and notifies the scout leader about the new applicant. The leader then needs to check with their guides to see if they even have free space in their patrols. If not, the new applicant is added into the groups waiting list. Otherwise, the newbie is invited to a patrol meeting, after which the leader after discussion with the guide decides to accept or reject the newbie. If accepted, the system generates personalized payment info based on the applicant's data and the current date and notifies the parent, who then needs to pay the application fee.
