Course objectives
Introduction to the basic rules of document keeping and archiving. The presented topics will provide students with practical skills in handling documents, and make them aware of their responsibility and their obligation to archive documents properly. The course presents archives as modern, safe and highly professional institutions for storing archival material. The students will learn about all stages of the existence of a document, from its creation to archiving. Storing documents in institutions and their consigning to archives is given special attention.
Syllabus
  • 1. Introduction to archival studies, two aspects of archival materials: archival material as a living document securing a certain legal right to a person, vs. archival material as a historical source of purely documentary value. Obligation of institutions to consign documents to archives.
  • 2. Documents, their types, sorting systems. Life stages of a ducement, their importance and protection, diplomatic cathegories.
  • 3. Basic notions of archival studies, including the definition of an archive, archival fund, difference between a depository and an archive.
  • 4. Principles of document management in an institution.
  • 5. Filing system of an institution, its importance for the functioning of the institution.
  • 6. Disposing of documents and its stages; proposals and protocols
  • 7. Norms of disposing of documents - laws, local regulations, a sample protocol of document shredding
  • 8. Historical aspects of archival studies, the development of qarchives from treasuries (royal archives…) to their modern shape; older ways of treating documents, relation of different social classes to documents.
  • 9. Organizing documents in archives - chronological principle, pertinence and provenience-based approach, their pros and cons.
  • 10. Processing (sorting and organizing) documents in archives; ways of exploiting the documents (study rooms, archival equipment and tools).
  • 11. Current network of archives in the Czech Republic, types of archives and their competence; the main authority; ways of protecting documents in archives, technical equipment for securing documents
  • 12. Archival Bill - its development, diskussion of its individual heads.
  • 13. Further regulations (archival documents and the cultural/national heritage status, ownership releases, regulation on types of archives, accounting legislation…).
  • 14. Future of archival service - electronic registry and filing offices.
